For the final post in this Functional Business Systems series we'll look into many - but by no means all - of the potentially outsourceable administration tasks within the operational side of your business.
There are many wide and varied definitions of Operational Management, depending on your type of business. To keep it simple, this probably encompasses most:
"In business, operations management is the development, execution, and maintenance of effective processes — whether used continuously for the production and delivery of goods or services or for the one-time execution of a major project"
There is a lot involved in that one, straightforward statement. Whether you physically produce goods to sell or sell services, the principles are the same.
So from an administration perspective, if you are a small business with a small support team, what tasks could you outsource from your operations in order to devote more time to productivity?
Depending on your line of business, you may experience peaks in demand, times of the year when there is greater call for your goods or services, for example; seasonal peaks during summer or winter and for the accounting industry - end of financial year. During these times, you will need to acquire extra resource in the form of staff and/or materials in order to supply and satisfy your customer base. This could mean recruiting temporary staff; increased order taking from clients; ordering additional supplies; researching new suppliers; increased communications, invoicing and payment monitoring.
In a production environment, you will probably be planning the business activity, completing and updating activity reports as well as assigning additional work tasks to team members.
What about your control systems? Putting in place processes and procedures (SOPs), plus reviewing them on a regular basis are all time consuming tasks that although not directly adding to your level of productivity, still must be implemented and kept up to date.
Add to this the start of shift routines and end of shift reporting, plus monitoring your work-in-progress, you have a lot to contend with.
Even if you outsource just some of these tasks, you will greatly lighten your load allowing you time to create a leaner and meaner operation that will provide an improved service to your clients.
